Use the CRM Kanban board to track, filter, and manage your opportunities from lead through to settlement.

The Kanban board gives you a visual view of your pipeline so you can prioritise work, monitor deadlines, and take action quickly without opening individual opportunities.

What is the Kanban board?

The Kanban board displays your leads and applications as tiles across multiple columns. Each column represents an opportunity status based on your configured workflow.

Understand the board layout

Each column represents a stage in your opportunity workflow.

Each tile represents a single opportunity.

As opportunities progress, tiles move from left to right. This makes it easy to see what needs attention, what is coming up next, and what is close to key deadlines.

Filter and customise your view

Use the filters panel

The filters panel on the left lets you narrow the board to show only relevant opportunities.

You can filter by:

  • Transaction type (for example, home loans)

  • User (assigned broker or team member)

  • Lender

You can also:

  • Save a filter setup as a view

  • Clear filters to return to the full board

Tip: Saved views help you switch quickly between personal pipelines and team-wide workflows.

Note: If the "My Workspace" filter is enabled, it may restrict the Kanban board to only pinned items. Untick this option to view all opportunities.

Use the quick filter bar

The quick filter bar at the top of the board lets you search instantly by:

  • Opportunity name

  • Applicant name

  • Lender

  • Broker

This is useful when you need to find an opportunity quickly during a client call or team meeting.

Sort opportunities to set priorities

Sort the entire board

Use Sort board by in the left panel to apply the same sorting rule across all columns.

You can sort by:

  • Settlement due date

  • Finance due date

  • Pre-approval expiry date

  • Loan amount

  • Status change date

  • Lender name

  • Opportunity name

  • Last modified date

  • Creation date

Each option can be sorted oldest to newest or newest to oldest, where applicable.

Sort individual columns

You can also sort each column independently using the sort option in the column header. This allows you to prioritise opportunities differently at each stage of your workflow.

Understand opportunity tiles

Each tile shows critical information so you can manage work without opening the opportunity.

Tiles include:

  • Opportunity name

  • Applicant name(s)

  • Lender

  • Broker name

  • Loan amount

  • Pre-approval expiry date

  • Finance due date

  • Settlement due date

  • Visual indicators showing days remaining to key deadlines

Take action from a tile

You can manage work directly from the Kanban board using tile actions.

Available actions include:

  • Create note to record updates or conversations

  • Create task to set reminders or assign follow-ups

  • Move to branch to transfer the opportunity to another branch or team

These actions help you stay organised and collaborate without leaving the board.

Troubleshooting visibility issues

If you are experiencing visibility issues with opportunities on the CRM Kanban board or other views, these may be caused by filters, branch restrictions, or cached data. Below are common causes and steps to resolve these issues:

Common Causes of Visibility Issues

  1. Filters Limiting Displayed Opportunities:

    • The "My Workspace" filter may restrict the Kanban board to only pinned items. Untick this option to view all opportunities.

    • Status filters on the Kanban board may not be set. Ensure you select specific statuses (e.g., Open, In Progress, Won) to populate the board.

    • Transaction Type filters in the Enquiry > Client Centre Kanban view can hide files. Clear these filters to restore visibility.

  2. Branch Restrictions:

    • Users restricted to a virtual branch will only see records for that branch. To access broader opportunity lists, ensure your user permissions allow viewing "All Branches."

    • A branch filter may limit search results. Set the filter to "All Branches" to expand visibility.

  3. Cached Data Issues:

    • Cached data can cause outdated or incomplete information to display. Perform a hard reload of the app to refresh cached data:

      • On Windows: Press Ctrl + Shift + R

      • On Mac: Press Cmd (⌘) + Shift + R

    • Reopen the app and try again.

Step-by-Step Troubleshooting Guide

  1. Check and Clear Filters:

    • Open the Kanban board or relevant view.

    • Untick the "My Workspace" filter if enabled.

    • Clear all filters, including Status and Transaction Type filters.

    • Reselect the desired statuses or transaction types to display relevant opportunities.

  2. Verify Branch Settings:

    • Navigate to the branch filter settings.

    • Set the filter to "All Branches" to ensure no opportunities are hidden due to branch restrictions.

  3. Refresh the Application:

    • Perform a hard reload to clear cached data and refresh the app.

    • Reopen the app and check if the issue is resolved.

  4. Adjust Status Filters on the Kanban Board:

    • Open the status/filter settings in the Kanban view.

    • Select specific statuses (e.g., Open, In Progress, Won, Lost) to populate the board.
