Comprehensive guide to the CRM Kanban

Updated over a week ago

The Kanban Board is a powerful tool for brokers, enabling efficient management and control over applications and opportunities. This feature-rich interface allows users to visualize, filter, and act on their tasks with ease. This guide explores all functionalities of the Kanban board, highlighting its immense value to brokers.

Overview of the Kanban Board

The Kanban board provides a visual layout of leads and applications across multiple stages and statuses, according to your opportunity statuses. Each stage is represented as a column containing tiles with detailed information about individual opportunities.

Filters and Views

Filters Panel (Left Sidebar)

The filters on the left-hand side allow brokers to customize their view based on specific criteria:

1. Transaction Type: Choose the type of transaction you want to display (e.g., Home Loans).

2. Users: Filter tasks assigned to specific brokers or team members.

3. Lenders: Display opportunities involving specific lenders.

4. Views:

a. Save as View: Save a custom filter configuration for future use.

b. Clear Filters: Reset filters to show all opportunities.

These filters ensure that brokers can focus on what matters most at any given time. Saved views allow for persistency, ensuring brokers always return to their preferred setup.

Quick Filter Bar (Top)

The quick filter bar above the board allows brokers to search for specific opportunities by:

  • Opportunity Name

  • Applicant Name

  • Lender

  • Broker

This feature offers a fast and intuitive way to narrow down the visible tiles for quick actions.

Sorting Capabilities

Board-Wide Sorting

Using the Sort Board By dropdown in the left sidebar, users can sort the entire board by:

  • Settlement Due: Oldest to Newest / Newest to Oldest

  • Finance Due: Oldest to Newest / Newest to Oldest

  • Pre-Approval expiry date: Oldest to Newest / Newest to Oldest

  • Amount: Highest to Lowest / Lowest to Highest

  • Status Change Date: Oldest to Newest / Newest to Oldest

  • Lender Name: Ascending / Descending

  • Opportunity Name: Ascending/ Descending

  • Last Modified date: Oldest to Newest / Newest to Oldest

  • Creation Date: Oldest to Newest / Newest to Oldest

Column-Specific Sorting

Each column can be independently sorted using the sort menu accessible in the column header. This capability allows brokers to prioritize opportunities differently across stages.

Tiles and Their Information

Each opportunity is represented by a tile containing:

1. Opportunity Name: The main identifier for the lead.

2. Applicant Name(s): Names associated with the opportunity.

3. Lender: The financial institution handling the loan.

4. Broker Name: The broker managing the opportunity.

5. Amounts and Deadlines:

a. Loan Amount

b. Pre-App Expiry

c. Finance Due Date

d. Settlement Due Date

6. Days to Deadline: Visual representation of remaining time for critical dates.

These details empower brokers to stay on top of each opportunity and take timely action.

Tile Actions

Each tile provides quick-access tools to streamline workflows:

1. Create Note: Add notes specific to the opportunity for future reference.

2. Create Task: Assign tasks related to the opportunity directly from the tile.

3. Move to Branch: Transfer the opportunity to a different branch or team.

These actions ensure brokers can efficiently manage tasks and collaborate effectively.

The Kanban board is a one-stop solution for brokers to:
