Set up reminder emails for Client Portal requests

Use this guide to schedule automated reminder emails for Client Portal requests and apply a standard reminder template.

What this feature does

Reminder emails let you add an automated follow-up schedule as part of the existing Client Portal request flow.

You can use this feature to:

  • schedule reminder emails from within the request

  • apply a standard reminder template

  • reduce manual follow-up

  • keep reminder messaging consistent across brokers and request types


Set up reminder emails

Step 1: Open the Client Portal request

  1. Open the relevant Client Portal request in Opportunities.

  2. Go to Basic settings & reminders.

Step 2: Set the request expiry date

  1. In Expiry date, select the date when the Client Portal link will expire.

Step 3: Turn on automatic reminder emails

  1. In Automatic reminder emails, switch the toggle on.

  2. Click Configure reminders.

  3. A date selection window will appear.

Step 4: Select the reminder dates

  1. In the reminder calendar, select the dates when reminder emails should be sent.

  2. Click Next.

When selecting reminder dates:

  • reminders cannot be scheduled after the request expiry date

  • reminders are only sent when the request status is Sent (Not Opened) or Client In Progress

  • a maximum of five reminders can be scheduled

  • the selected template will be used for all reminder emails in the schedule

Step 5: Select a reminder template

  1. The Select a reminder template window will open.

  2. The template preview shows the email content that will be sent to the client.

  3. Choose the appropriate reminder template.

  4. Click Choose.

Step 6: Review the saved reminder schedule

  1. After saving, the selected reminder template and scheduled dates will display in Automatic reminder emails.

  2. Review the reminder details before sending the request.

What happens next

After the request is sent:

  • reminder emails send automatically on the scheduled dates

  • reminders stop when the client completes the request

  • reminders stop when the request expires

  • reminders only send while the request remains active and incomplete.

What if I want to create my own reminder template?

Reminder templates can be created in the Admin app.
