Use this guide to configure the Basic Settings and reminders for a Client Portal request in Mercury Nexus. These settings control who can access the request, how long it remains active, and how clients are prompted to complete it.
You can only edit these settings while the request is in Draft status.
Access Basic Settings and reminders
Open the relevant Opportunity.
Select Client Portal from the side navigation.
Double-click the request to open it.
Select Basic Settings and Reminders from the left-hand panel.
This section controls:
Request name
Contacts included
Expiry date
Automated reminders (coming soon!)
Update the request name
You can rename the request at any time while it is in Draft.
Locate the Request Name field.
Enter a clear and descriptive name.
Moving out of the field will save your changes.
Use naming conventions that distinguish multiple requests within the same opportunity.
Tip
Include the purpose of the request in the name, such as “Initial fact find” or “Pre-submission documents”.
Select contacts for the request
Only selected contacts can access and complete the request.
Locate the Contacts section.
Select the applicant(s), guarantors or other contacts to include.
Each selected applicant:
Receives their own email invitation
Receives a dedicated portal link
Sees only the sections assigned to them
You can run multiple requests for different contacts within the same opportunity.
Applicants or guarantors in the same household should be added to a single request.
Applicants or guarantors in separate households need to have separate requests.
A combination of applicants, guarantors and or other contacts in single request is not possible.
Important
If a contact is removed from a sent request, the request will close and client access will be revoked.
Set or update the expiry date
Every Client Portal request must have an expiry date.
By default, the system sets the expiry to two weeks from the creation date.
To update the expiry:
Locate the Expiry Date field.
Select a new date.
After the expiry date:
The client link becomes inactive
Clients cannot access the portal
Important
If a request expires, clients immediately lose access. You must extend the expiry date or create a new request for them to continue.
What you can change after sending
Once the request moves out of Draft:
Modules cannot be edited
Contacts cannot be removed without closing the request
Expiry date can be extended
If significant changes are required, consider creating a new request.
Review settings before sending
Before sending the request, confirm:
Correct contacts are selected
Expiry date allows enough time for completion
Reminders are enabled (if required)
Request name clearly identifies the purpose
