How to move Person or Opportunity records to Virtual Branches

Virtual Branches allow segregation of your database by restricting the users inside each Virtual Branch to only see Person and Opportunity records created by themselves or other users in the Virtual Branch. Moving Opportunities and People records to a Virtual Branch is a useful way to delegate Opportunities, or transfer client leads.

To move contacts between Virtual Branches your Mercury Nexus account must be part of the Head Office branch.

You need Admin level access to move Person or Opportunity records to another Virtual Branch.

How do I move records to a Virtual Branch?

When moving an Opportunity record, the linked Primary Applicant and Applicant contacts will be moved automatically. Be sure to move all the Opportunity records first, then move remaining Contacts.

  1. From the CRM app, navigate to either People or Opportunity from the main left-hand menu.

  2. Select and highlight all the records you wish to move. You can select multiple records by clicking CTRL + Left click on Windows and CMD + Left click on Mac.

  3. Click Move to Branch from the top menu bar.

  4. Select the appropriate branch.

  5. Click Choose. If the "Move to Branch" option is unavailable, ensure you have the necessary permissions or contact your CRM administrator for assistance.

Note: The File Owner field on a Person or Opportunity record lists the Virtual Branch name that the record currently resides in.

Special Case: Greyed-Out Owner Field

In some cases, the Owner field may be greyed out because the opportunity is owned by a virtual branch. To resolve this, follow these steps:

  1. Go to CRM > Opportunities.

  2. Search for and open the opportunity.

  3. Click Move to Branch.

  4. Select the target branch.

  5. Click Choose to confirm the change. Once the opportunity is moved, the ownership will reflect the new branch. Additionally, if the Owner field appears greyed out, it indicates that the opportunity is owned by a virtual branch. To resolve this, you need to move the opportunity to the desired branch using the "Move to Branch" option.
