Mercury Nexus helps streamline your workflow by automating repetitive administration tasks using Auto-Actions.
Auto-Actions trigger automatically when an Opportunity status changes.
Important terminology update
Mercury Nexus now uses the term Broker consistently across the platform.
This replaces previous role labels such as Agent, Advisor, Loan Writer and Associate to ensure a consistent experience.
Before you begin
Important
Auto-Actions assigned to the initial status of Lead will not trigger when a new Opportunity is created. Auto-Actions only trigger when a status changes.
You must log out and log back in to Mercury Nexus for Auto-Action changes to take effect.
Customise an existing auto-action
To edit an existing Auto-Action:
Open the Admin app.
Select CRM Settings from the left-hand menu.
Click Auto-Actions in the top menu.
Choose the relevant Opportunity Type from the drop-down.
Existing Auto-Actions are displayed under each status.
A ticked checkbox indicates the Auto-Action is active.
An unticked checkbox indicates it is inactive.
To modify:
Highlight the Auto-Action.
Review the details in the preview panel on the right.
Make the required changes.
Tick the Active box to enable.
Create a new auto-action
To create a new Auto-Action:
Open the Admin app.
Select CRM Settings.
Click Auto-Actions.
Choose the relevant Opportunity Type.
Highlight the status where the action should occur.
Click the + button next to the status header.
The Edit Auto-Action window will open.
Choose an action type
You can select one of three action types:
Email
Task Template
SMS
Set up an email auto-action
If you select Email, configure the following:
From (sender)
Choose one of:
User – The Mercury account that changed the status.
Broker – The Broker listed on the Opportunity record.
Person Acting – The Admin listed on the Opportunity record.
A specific Mercury account from your group (does not need to be linked to the Opportunity).
To (recipient)
Typically the Applicant, but you can also send to the listed Broker or Admin.
Cc / Bcc
Add additional recipients if required.
Email body
Click Choose Email Template to insert an existing template.
If you later update the template, you must manually update the Email Body in the Auto-Action.
Tick Active to enable the Auto-Action.
Set up an SMS auto-action
If you select SMS, configure:
From – Who the SMS will be sent from.
To – Who the SMS will be sent to.
Insert Tag – Personalise the message using system tags.
Message content.
Tick Active to enable.
Set up a task template auto-action
If you select Task Template:
Click Search Task Templates.
Select the required template.
Review associated actions in the Template Comments section.
Tick Active to enable.
Apply your changes
Log out and log back in to Mercury Nexus to ensure your updates take effect.
Best practice tips
Test Auto-Actions using a sample Opportunity before going live.
Avoid duplicating actions across multiple statuses.
Review automation messaging regularly for compliance and relevance.
Ensure email and SMS templates reflect current branding and regulatory requirements.
