You must configure an Email Profile before sending emails from Mercury Nexus.
Your email profile includes your signature and branding. Once set up, it will automatically appear in emails sent from CRM.
Where your email profile is used
Your configured email profile will apply to:
Opportunity email button
Opportunity note email
Opportunity auto-action email
People email merge
Opportunity Questionnaire invite
Opportunity Document Request invite
Opportunity Client Centre invite
Set up your email signature
To create an email profile:
Open the Admin app.
Select My Details from the left-hand menu.
Click Email Profiles in the top menu.
Select + Add to create a new profile.
Configure your email profile
Open the Edit Details tab.
Enter your contact information.
Select Insert Logo to include your company logo.
Alternatively, upload your logo using Load Company Logo.
Upload images to the CRM Documents section by navigating to the Admin app, selecting Documents, and adding your image to the designated Image folder.
You can toggle between:
Edit Details
Preview
to review your design in real time.
Troubleshooting Signature Issues
If you encounter issues with your email signature, such as images not appearing:
Ensure the image is correctly embedded or referenced in the signature. Reinsert the image if necessary.
Verify that the signature's HTML does not exceed Mercury's character limit (approximately 65,000 characters). Simplify the HTML by compressing or rehosting images and removing unnecessary styles.
Send a test email to verify that the image renders correctly.
Tip
Hold down Shift + Enter to create single spacing between lines.
Set as default profile
Once your profile is complete:
Tick the Default box to make this the automatically selected profile when sending emails.
Changes save automatically.
Important
Log out and log back in to Mercury Nexus for changes to take effect.
Send emails on behalf of another person
You can create an email profile to send on behalf of another user.
To do this:
Open the Admin app.
Select My Details.
Click Email Profiles.
Select + Add.
Enter the other person’s email address.
If Office 365 (O365) integration is enabled, you can be granted permission to send directly from their mailbox.

Then:
Configure the signature details as required.
Preview your changes.
Tick Default if appropriate.
Designing your signature
For HTML signature layouts, you may use a signature generator tool. Mercury supports HTML-based email signatures but has a character limit of approximately 65,000 characters. Ensure your signature stays within this limit to avoid saving issues.
Always ensure your signature complies with:
Technical requirements such as image compression to reduce file size and adherence to the HTML character limit.
